Basic policy regarding personal information

1. Basic policy

Tokyo Monorail Co, Ltd. ("the company" hereinafter) shall observe all laws, ordinances and company regulations related to the protection of personal information (information such as full name, date of birth, or other applicable information that could be used to identify a living individual). Personal information shall be protected through, proper acquisition and use of personal information by the company, safe and up-to-date management, and proper disposal.

2. Organizational activity

  1. Observance of laws and ordinances related to personal information protection.
  2. Enactment and observance of company policies related to handling personal information.
  3. Implementation of periodic checks to ascertain whether or not personal information is being handled properly, and creating improvement if problems are discovered.
  4. Requesting the cooperation of all group companies, organizations and individuals the company makes transactions with to adhere to the aims of the company's regulations.
  5. Ensuring that basic policies are always available for inspection by posting them on the company website (URL http://www.tokyo-monorail.co.jp/english/index.html), etc.

3. Handling personal information

The company shall handle personal information in the following manner except in cases where a different method of handling is approved by law or ordinance.

  1. Internal system
    The company shall appoint a manager to properly perform management of the handling of personal information.
  2. Acquisition of personal information
    Upon the acquisition of personal information, the company shall make the purpose of acquisition clear, and properly carry out acquisition in a proper manner.
  3. Usage of personal information
    The company shall be aware of the importance of protecting personal information when using personal information, and use personal information only for the purposes for which it was intended.
  4. Proper management of personal information
    The company shall enact necessary safety measures in managing personal information.
  5. Respect of owner's rights
    The company shall respect the rights of the owners of personal information, and shall respond in a reasonable period to any requests to disclose, correct, or cease usage of personal information in accordance with applicable laws.
  6. Continual improvement of the handling of personal information
    The company shall make continual effort to improve handling of personal information.

Specific policy on personal information

In order to ensure smooth operation, the company acquires personal information as necessary. Personal information collected is handled according to the basic policy regarding personal information above as well as the following:

1. Purposes of use for personal information acquired from customers and stockholders

The company shall use personal information acquired from customers and stockholders for the following purposes:

(1) Purposes of use for personal information acquired from customers

  4. For the design and development of new products or services related to railway business, or software, systems, facilities or devices, etc. to provide such products or services
  5. For the collection of fares and fees related to railway products and services, and for the preservation of credit
  6. For market research and other survey work related to railway business
  7. For analysis of business related to railway business
  8. For the operation of giveaways, campaigns, etc.
  9. For the creation and fulfillment of contracts with clients and for post-contract management
  10. For activity related to CSR (corporate social responsibility)
  11. For receiving and answering customer questions, comments and opinions
  12. For providing work experience and information to students
  13. For ensuring the security of customers and employees
  14. For maintenance of buildings, facilities and machines, and for the management of their usage status

  4. In cases where cooperation is required for legal work by a national or regional public organization or someone under contract with such an organization, and there is a possibility of such work being hindered by difficulty in obtaining consent from the customer or stockholder.

3. Shared use of customer personal information

The company performs shared use of personal data regarding children's registered IC cards.

  1. Personal data to be shared: Full name, sex, date of birth, telephone number (optional)

    Issuers of Suica cards, issuers of PASMO cards, issuers of Suica- and PASMO-compatible IC cards

  3. Purposes of use: Confirmation of application information in the sale of children's registered IC cards

4. Procedures for the disclosure of personal information

The company shall respond in a reasonable period of time and within the scope of laws and regulations when the disclosure of one's own personal information acquired by the company (other than information acquired from stockholders) is requested once the identity of the person requesting the information has been confirmed. In addition, there shall be fees for some disclosures.

  2. Where to send requests for disclosures

    When requesting disclosure, please fill in all necessary items on the company's prescribed disclosure request form** and enclose it with proof of identity*** and any necessary fees****, then send it via registered mail, simplified registered mail, a registered delivery service, or any other delivery method that keeps records of delivery.
    Please understand that the company does not respond to requests for disclosure by any other method (including directly visiting the company).
    In cases where all necessary items are not complete on the disclosure request form or the identity of the person requesting cannot be confirmed, the company will make contact and ask that the request be sent again. If the request is made again after 2 weeks, the request will be treated as not made, and no fees will be refunded.

  3. Notification method for the result of disclosure requests

    Written notification will be sent by mail (via Japan Post Restricted Delivery Mail Service) to the person requesting disclosure (to the name and address included in the disclosure request form). In addition, if the request for disclosure will not be fulfilled*****, the reasons will be included in the notice.
    Please understand that delivery of notification may require a few days.

  4. Purposes of using personal information acquired through disclosure requests

    Personal information acquired through disclosure requests shall be used solely for the procedures related to the request. Any documents received will be properly disposed of.

    A charge of ¥624 will be charged per item requested for disclosure requests that charge a fee, so please enclose a ¥624 postage stamp or postal money order for each item requested.
    In the case of postal money orders, the post office will charge a separate, additional fee.
    In cases where the fee is paid in excess, the difference will not be refunded. In cases where the amount received is insufficient to cover the fee or no amount is enclosed, the company will make contact. However, if no payment has been made after 2 weeks, the request will be treated as not made, and no fees will be refunded.
